Description
Reports to Head of Archives & Special Collections; works in close collaboration with other library units: Technical Services, Education and Research Services, Marketing and Communications.
The Library and Center for Knowledge Management at the University of California, San Francisco (UCSF) seeks a dynamic, creative, and service-oriented professional for the position of Digital Archivist. The appointment is for a one year, full time position. If funding becomes available for an extension of the program requiring this position, the candidate will be encouraged to apply for the appropriate (non-Temporary) Librarian title.
In the increasingly digital world when the majority of scholarly output comes in a digital format or is being digitized for ease of access, the UCSF Archives & Special Collection has been working the past 20 years on digitizing its materials and building digital collections. However, now that the number of born-digital materials produced by UCSF faculty and researchers as well as outside donors is growing exponentially, there is a need to establish and provide leadership for a Digital Archives Program within the Archives & Special Collections department.
Responsibilities
• Establish and lead a Digital Archives Program within Archives & Special Collections department.
• Develop and implement UCSF-wide policies and procedures that facilitate the acquisition, transfer, preservation, arrangement, description, and access to born-digital materials in accordance with emerging standards and best practices.
• Evaluate proposed acquisitions of born-digital material with the Head of Archives & Special Collection and advise on discovery and delivery options; consult with and advise creators of born-digital content (including faculty, students, researchers, staff, and outside donors).
• Process born-digital, hybrid and analog collections.
• Provide library and university-wide expertise and organize training sessions on workflows, tools, and best practices to support the management and preservation of born-digital content.
• In collaboration with the UCSF Library technical services, develop policies for and implement Open Linked Data Initiatives.
• Coordinate with technical services and archives staff on the cataloging of born-digital materials and their exposure in library and UC-wide catalogs, as well as other UC and national digital repositories.
• Participate in the development and submission of grant applications in support of born-digital initiatives and the Digital Archives Program.
• Collaborate with UCSF records managers and the Data Services librarian to realize and implement preservation, management, discovery, and access initiatives for institutionally created email, media (i.e., web pages, images, moving image, and audio) and other born-digital materials.
• Provide directions and organize collection development initiatives for the capture, organization, management, and preservation of selected web-based resources and social media, including, when appropriate, management through the Library’s Digital Asset Management System (DAMS) and the Internet Archive’s Archive-It tool.
• Set guidelines and identify tools and techniques to review, process, and redact born-digital content with protected health information (PHI) and other confidential or sensitive information.
• Work with Library and University IT staff to facilitate the transfer of born-digital materials to library-controlled storage using hard drives, FTP, shared drives, and other methods; advise on digital storage needs.
• Lead and oversee A&SC digitization program of textual, photographic, architectural, and audio-visual materials.
• Work collaboratively with Library public service and outreach professionals on the appropriate presentation of born digital material for instructional and research use, and exhibits.
• Participate in the UC-wide Digital Curation and Born-Digital Common Knowledge Groups, Calisphere/DAMS user group and other relevant campus and system-wide committees and groups.
Qualifications
Required:
• ALA-accredited Master's Degree in Library or Information Science OR an advanced degree in an appropriate subject discipline with relevant special collections or archival training.
• Two to three years of progressively responsible experience in a manuscripts repository.
• Experience working with Archivists' Toolkit/ArchivesSpace and/or other collection management systems.
• Experience processing born-digital materials.
• Knowledge of archival theory and best practices, especially as they relate to the particular issues posed by born-digital content.
• Knowledge of current trends and protocols in digital archiving.
• Thorough and up-to-date knowledge of tools and software used to capture, manage, and deliver born-digital records such as forensic hardware, FTK, BitCurator, BagIt, or DataAccessioner.
• Knowledge of legacy digital formats, their care and use.
• Experience with web archiving activities and tools such as Archive-it.
• Familiarity with social media archiving tools / services such as Crimson Hexagon.
• Familiarity with metadata and other standards relevant to the control of digital materials such as OAIS, EAD, DACS, Dublin Core, MODS, PREMIS, and XML.
• Familiarity with trends in arrangement, description & management of born-digital materials
• Excellent analytical, interpersonal, time management, and organizational skills, as well as excellent written and oral communication abilities.
• Ability to work creatively, both independently and collaboratively.
• Demonstrated strong commitment to diversity, equity and inclusion in higher education.
• Demonstrated ability to maintain and safeguard confidentiality of documents and information collected and reviewed.
• Ability to lift and shelve boxes weighing up to 40 pounds.
Preferred:
• Experience processing analog archival materials.
• Society of American Archivists Digital Archivist Specialist certificate, or courses toward its completion.
• Knowledge of legal & ethical issues affecting privacy, records restrictions, and access, as they pertain to born-digital materials.
• Ability to articulate highly technical concepts and requirements to a variety of audiences.
• Experience preserving born-digital materials, including web sites, email, and social media.
• Demonstrated ability to develop written project documentation, process procedures, reports, etc. and training staff.
• Demonstrated sound judgment and ability to work independently, set priorities and maintain them, and follow through on assignments. Ability to adjust priorities and procedures as directed by changing goals and objectives.
