Academic Project Administrator – McManus Lab

The University of California, San Francisco, California is seeking a skilled and highly organized Academic Administrator to help develop research programs within a Center for Functional Genomics. This position is primarily an administrative and management function in the Director’s office including the coordination of communications and helping to lead a team of scientists through project management.
The selected candidate will join a thriving multi-disciplinary team of systems biologists to help define gene function in the humans and develop cutting-edge approaches for therapeutic intervention. This role functions with a high degree of autonomy in overseeing staff, planning meetings, managing travel needs, creating itineraries for visiting scientists, and managing multiple calendars. The Academic Administrator is expected to formulate strategies to improve work efficiency and ensure that directives issued by the Director are carried out to his specifications. The Academic Administrator will oversee a small team (4-6 technical research staff) to ensure compliance with university policies, organizing the laboratory space, and manage research projects.
Acting as the primary liaison between the Director and scientists at UCSF, the NIH, and with other collaborators, the Academic Administrator will oversee special projects including annual review meetings and symposia with government agencies and industry collaborators, requiring a high level of independence and initiative. This position requires the highest degree of confidentiality and discretion and is charged with handling and relaying sensitive information and data.
• Administrators appointed at this level must possess (or in process of obtaining) a terminal or top degree in his/her field, e.g., Ph.D., M.D., D.D.S., D.V.M., or the highest degree which is commonly expected for appointment in the activity
• Applicant’s materials must list (pending) qualifications upon submission.
• Applicants must have obtained the degree requirement for the Administrator level by the time of hire.
• Knowledge of a variety of administrative operational activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines
• Knowledge of common computer application programs (Word, Office, PowerPoint, or related software)
• Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling
• Strong skills in project management, short term planning, analysis and problem-solving and customer service.
• Exceptional organizational skills with highest attention to detail - sets the gold standard for accuracy
• Serves as an excellent role model of productive behavior quickly incorporates new knowledge to build productivity
• Able to think independently in the management of Director’s calendar and daily agenda
• Good background and literacy in science; knowledge of basic biology
• Highly punctual with work hours/schedule; reliably available to Director while off-site
• Ability to problem-solve and analyze issues without precedent.
• Minimum of two to three years of direct supervisory experience
• Advanced degree in biochemistry, neuroscience, molecular genetics, or related field
• Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management
• Advanced knowledge of the ORU processes, protocols and procedures
• Strong background and literacy in science; knowledge of basic science
